The right person will become a steady operational partner across the household, family logistics, properties, events, vendors, and special projects. This role begins with the day-to-day management of the family’s household and properties, with the opportunity to grow into broader personal, family, and project support over time as trust is built.

Position Responsibilities:
If you are a rare individual who loves keeping complex lives, homes, people, and moving pieces organized with calm confidence, this role is for you. This role is about creating ease, structure, and follow-through for a fast-moving family with multiple properties, active children, pets, visitors, events, and ongoing household projects. You will help reduce the operational load, anticipate what needs to happen next, and make sure the right things get done without the family needing to manage every detail themselves.
This role includes:
- Managing day-to-day household operations across multiple family properties
- Helping create and maintain household manuals, routines, schedules, and operating systems
- Coordinating seasonal, annual, and recurring household tasks
- Managing vendors, household staff, service providers, contractors, cleaners, dog walkers, and other partners
- Acting as a central point of contact so requests, questions, and decisions are filtered thoughtfully before reaching the family
- Supporting property-related projects, maintenance, improvements, repairs, and timelines
- Coordinating bills, household administration, and family logistics as needed
- Planning and coordinating family events, dinners, gatherings, visitors, and last-minute hosting needs
- Supporting larger events at family properties, including vendor coordination, security, rentals, fencing, washrooms, food, drinks, and event flow
- Helping plan family activities, travel details, reservations, itineraries, bookings, and occasional travel support
- Supporting logistics for two children and helping ensure family plans run smoothly
- Working comfortably around children and three dogs
- Representing the family with professionalism, polish, discretion, and good judgment
- Knowing when to step forward, make something happen, and hold a firm line, and when to stay quietly present in the background
- Helping build structure today while creating capacity for the role to grow into broader project and personal operations support over time
Qualifications:
- Experience managing complex logistics, schedules, projects, events, office operations, executive support, household operations, property coordination, or a similarly fast-moving environment
- Proven ability to manage multiple priorities, people, vendors, and details without dropping the ball
- Strong judgment, discretion, and comfort handling highly confidential personal information
- Able to operate independently with limited direction once context is learned
- Highly organized, detail-oriented, and able to build repeatable systems
- Strong communication skills with the ability to be clear, direct, warm, and professional
- Professional presence and polish when representing a private family
- Comfortable in a fast-paced environment with shifting priorities and occasional urgent needs
- Solution-oriented and calm when plans change or something does not go as expected
- Able to read the room, anticipate needs, and adjust communication style based on the situation
- Comfortable working with children and dogs
- Willing and able to work in person in the Waterloo area, with flexibility to support needs across family properties
- Open to occasional travel support, as needed

Location: Waterloo area, Ontario
This role will involve in-person work across the family’s primary household, nearby properties, and other relevant locations as needed. There may also be access to an office location in Uptown Waterloo.
Salary: Base compensation starting at $120K per year
