The Wealth Planning Group Inc. (WPG) is seeking a highly organized and proactive Manager, Executive Operations & Administration to support the firm's Partners and oversee day-to-day administrative operations.
This position plays a key role in ensuring the smooth operation of the office by managing executive calendars and travel, coordinating administrative priorities, overseeing administrative staff, and serving as a central point of communication and organization. The successful candidate will help maintain operational efficiency while ensuring the Partners remain focused on serving clients and growing the business.
Working closely with the leadership team, this role combines executive support, office management, team coordination, and administrative leadership in a fast-paced professional services environment.
As the Manager, Executive Operations & Administration, you will:
- Manage complex calendars, meetings, appointments, and travel arrangements for the Partners
- Act as the primary point of coordination between the Partners, staff, and external stakeholders
- Oversee the day-to-day activities of the administrative team, providing guidance, support, delegation, and workflow coordination
- Ensure administrative tasks are completed accurately and within required timelines
- Coordinate office operations and help maintain smooth business continuity when Partners are travelling or unavailable
- Assist with scheduling, meeting preparation, correspondence, and document management
- Monitor and prioritize administrative requests, ensuring timely follow-up and completion
- Support internal communication and coordination across departments
- Maintain accurate records, files, and CRM documentation
- Assist with special projects, event coordination, and operational initiatives as required
- Identify opportunities to improve administrative processes, efficiency, and service delivery
- Provide general office management and executive administrative support
You and Your Experience:
- 5+ years of experience in executive administration, office management, operations coordination, or a similar role
- Previous experience supporting senior executives, business owners, or leadership teams
- Experience leading, mentoring, or coordinating administrative staff
- Exceptional organizational and time-management skills
- Strong ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills
- Strong proficiency in Microsoft Office, including Outlook, Excel, Word, and PowerPoint
- Experience working with CRM systems is considered an asset
- High level of professionalism, discretion, and confidentiality
- Ability to work independently while collaborating effectively with a team
- Post-secondary education in business administration or a related field is considered an asset
- Experience in wealth management, financial services, insurance, investments, or professional services is considered an asset, but not required
