Project Coordinator – Land Development & Special Projects

$75,000 - $90,000, depending on experience

Some Project Coordinator roles are about updating spreadsheets and taking meeting minutes.

This one isn't.

Blackridge Search Group has been exclusively retained to recruit a Project Coordinator for a well-established, multi-generational residential land development company in the London, Ontario area.

Our client is building its internal project team as it advances a significant pipeline of residential development, including a large multi-phase community that will continue through approvals, servicing, construction and build-out over a number of years.

They are looking for someone who can become a central point of coordination across that work.

You'll work directly with the COO and alongside engineers, planners, municipalities, contractors, builders and other consultants to keep schedules current, information organized, commitments visible and projects moving.

The right person isn't simply good at documenting what happened.

You'll be thinking about what needs to happen next.

What You'll Be Doing

You'll support multiple active development phases and other strategic projects across the company, with responsibility for areas including:

• Owning and maintaining detailed project schedules in Microsoft Project, including milestones, dependencies, deliverables and changing timelines
• Keeping project plans current and identifying items that are falling behind, incomplete or inconsistent
• Coordinating internal and external project meetings, including agendas, documentation, action items and follow-up
• Tracking commitments made by consultants, engineers, planners, contractors, municipalities and other stakeholders—and following up when something is due
• Maintaining project information across systems including LotWorks, Egnyte, Excel and other project platforms
• Coordinating lot-specific information from builders, including plans, renderings, contracts and related documentation
• Supporting RFP distribution, tracking and consultant coordination
• Reviewing and tracking project invoices, coding and project costs
• Updating budget-versus-actual information and maintaining accurate project cost records
• Maintaining disciplined document control, version management and project records
• Creating schedules and project plans for initiatives outside traditional land development when required
• Stepping in to facilitate or run project meetings when appropriate
• Helping bring greater structure, visibility and accountability to a fast-moving project environment

What We're Looking For

We're interested in someone with approximately 5+ years of relevant project coordination or project management experience who has meaningful exposure to land development or a closely related environment.

Your experience might come from:

Residential land development. Civil engineering consulting. Planning. Construction. Municipal development. Development consulting.

The precise title on your business card matters less than whether you understand how projects move, how multiple stakeholders interact and how to keep complicated work organized.

There are, however, a few things that matter considerably.

Microsoft Project matters.

This isn't a role where you'll occasionally open someone else's schedule.

You need to be genuinely comfortable working in Microsoft Project - building, maintaining and adjusting schedules, understanding dependencies and milestones, and using the schedule as an active management tool.

Strong Excel skills are also important.

Experience with LotWorks, Egnyte, Sage or Procore would be helpful, but isn't required. What matters more is being technologically comfortable and capable of learning unfamiliar systems without needing your hand held.

You are highly organized, but you're not rigid.

You're confident enough to follow up with an engineer or consultant when something is overdue, while understanding that maintaining strong long-term relationships matters.

You can be assertive without being aggressive.

You notice gaps.

You ask good questions.

You don't respond to a new system or process with, “That's not how I've done it before.”

You'll learn it, understand why it's being used, and—when there's a better way - have the confidence to suggest it.

Most importantly, you don't need a manager standing beside you telling you what to do next.
